About Tafi

Tafi is a fast-growing Panamanian fintech company offering consumer credit and payment services. As its business expanded, it faced growing complexity in managing operations across credit underwriting, loan servicing, collections, and financial reconciliation. Legacy systems—reliant on scattered scripts, manual interventions, and brittle scheduling—were slowing innovation and compromising scalability.
To stay competitive and agile in a dynamic market, Tafi turned to Orkes Conductor, a cloud-based workflow orchestration platform, to modernize its operations and empower cross-functional teams.

The Challenge

  • Disjointed Scheduling & Event Handling: Tafi relied on scattered cron jobs and custom schedulers, with no central system to orchestrate event-driven workflows triggered by actions or events.
  • Inflexible Processes: Business logic was hardcoded or handled manually, slowing policy updates and requiring engineering time.
  • Lack of Low-Code Flexibility: Non-technical teams couldn’t modify workflows, limiting experimentation with new campaigns or process flows.
  • Scaling Bottlenecks: Tafi’s in-house orchestration couldn’t keep pace with growing customer and partner volumes, increasing fragility and operational risk.

The Solution: Orkes Conductor

Tafi adopted Orkes Conductor through a phased rollout, starting with simpler workflows triggered via HTTP, and gradually expanding to event-driven automation across the organization. Using built-in features like decision tasks, cron scheduling, manual approvals, and sub-workflows, teams automated core processes. Reusable sub-workflows (e.g., notifications, data lookups) enabled faster workflow creation—“like Lego blocks”—for both developers and business users.
While Tafi recognizes the value and flexibility of open-source Conductor, for a mission-critical orchestration layer, they prioritized having a commercially supported and enterprise-ready solution. Orkes Conductor offered the reliability, accountability, and advanced capabilities they needed to confidently scale operations. With built-in support for monitoring through Prometheus and Grafana, the team gained real-time visibility into workflow health.

Key Use Cases

1.
Customer Payment Processing: Tafi uses Orkes Conductor to automate customer payment processing and risk assessment. What was once hard-coded logic is now a flexible workflow, enabling the risk team to update rules without engineering effort—streamlining operations and improving agility
2.
Automated Collections Campaigns: Tafi uses Orkes to automate and schedule collections campaigns, eliminating the need for manual customer outreach. Business users (Collections department in this case) can configure workflows that run daily, identify overdue accounts, and send personalized SMS or email reminders—all without writing code.
3.
Bank File Reconciliation: Tafi automated its daily transaction reconciliation process using Orkes Conductor. The workflow handles file ingestion, record comparison, and result tracking—freeing up the finance team from manual effort. It’s flexible enough to support new partners with minimal adjustments, making it easy to scale.
4.
Store Settlements: Tafi uses Orkes to automate daily store settlements for its merchant platform. Each night—or when triggered manually—the workflow compiles transaction data, calculates balances, and generates end-of-day financial statements. Store owners can then access accurate, finalized summaries each morning through Tafi’s portal.
Orkes Conductor serves as a unified orchestration layer that supports multiple business teams across Tafi, streamlining operations and enabling cross-functional efficiency. From the risk team, which dynamically updates credit assessment rules, to the collections department, which runs automated outreach campaigns, Orkes empowers business users to adapt processes without developer involvement.

The Results

Orkes Conductor helped Tafi achieve:
  • Faster Iteration – Business teams can update workflows without engineering, accelerating response to market changes.
  • Increased Efficiency – Automated processes in finance and collections saved hours of manual work per day.
  • Improved Reliability – Scalable orchestration handles traffic spikes and failures without downtime.
  • Better Collaboration – A centralized orchestration layer aligned teams and improved visibility into operations.

Conclusion

Tafi’s adoption of Orkes Conductor transformed its approach to process automation. What began as an effort to reduce manual work has evolved into a strategic platform for agility, reliability, and innovation. With reusable workflows, low-code interfaces, and real-time monitoring, Tafi has turned orchestration into a competitive advantage—and is now exploring AI-driven workflows as the next frontier.
